Draft - requires licensed counsel review before publication. This page is risk-mapped from our own product and data model, not a legal opinion, and creates no attorney-client relationship. Retention periods marked "proposed" are a starting point for counsel, not a final commitment.
HomeService ("we", "us") provides a mobile and web application that helps local service professionals (house cleaning, pool service, handyman, contracting) communicate with their customers, schedule and document work, and get paid. This policy describes what personal information we collect through the app and website, why, how long we keep it, and the choices you have.
1. Who this applies to
Two kinds of users interact with the product: service professionals ("providers" and their team members) and their customers. Both are covered by this policy, and so are people who call a business that uses AI Phone (see section 5A). Provider-originated customer relationships remain the provider's relationships - see section 5.
2. What we collect, and why
We do not collect immigration status or a Social Security Number to use the app.
| Data class | What | Why we collect it | Source |
|---|
| Account and identity | Name, phone number, email, profile photo, authentication identifiers | Create and secure your account, sign you in | You, via our authentication provider |
| Voice recordings | Audio you record to create jobs, send messages or update work | Turn your speech into a job, a message, or a schedule change, in your language | You, when you tap to speak |
| Photos | Before/after job photos, which may include the interior of a customer's property | Document work performed, resolve disputes, show your customer the result | You (provider or worker) |
| Property addresses | The service address for each property | Let you open directions to a job in your own map app; we do not calculate or store a route ourselves | You (the provider), or the customer directly |
| Contact and property data | Customer name, phone/email, service address, service preferences | Create and manage the service relationship and the jobs at that property | You (the provider), or the customer directly |
| Property access instructions | Gate codes, alarm codes, lockbox combinations, key locations, if you choose to add them | Let an assigned worker enter the property during their scheduled job | You (the provider or customer) |
| Payment metadata | Payment amount, method (cash, Zelle or check today - card payment is not yet available), and status | Record what was charged, and invoice correctly | You |
| Messages | Text, voice and photo messages between you and your customer or provider, and their translations | Enable communication across languages | You |
| AI Phone calls | Phone number, call audio, transcript, summary, language, recording choice, the request | Answer the call for the business and pass on the request | You, when you call a business's number |
| Usage and device data | App version, device model, OS version, crash reports, general diagnostic events | Keep the app working, fix bugs, understand feature usage | Automatically, from the app |
3. Property access instructions get special handling
If you add a gate code, alarm code, lockbox combination or key location to a property, it is encrypted with a dedicated encryption key, separate from our general database credentials. It is decrypted only for a worker assigned to an active job at that property, during the scheduled service window, over an authenticated request. It is never included in any AI/model request, never logged, never included in analytics, error reports, screenshots or support tooling, and every time it is decrypted we record who accessed it and when. A member of our support team cannot read it either.
4. Voice, photos and property addresses are sensitive - handled accordingly
- Voice recordings are used to create the job, message or schedule change you asked for, and are not used to identify you by voice or to create voiceprints (we do not build or use voice-print/voice-biometric profiles), for calls to AI Phone numbers as well.
- Interior photos are visible only to the parties of the specific service relationship they belong to (the provider, the assigned worker, and the customer) - never to other providers, other customers, or the public.
- Property addresses are typed by you or your customer and stored as text. When you tap "Get directions" on a job, we hand that address to your phone's own map app (Google Maps, Apple Maps or Waze) to open there - your phone's map app then calculates the route, not us. We do not convert an address to a map coordinate, we do not store one, we do not collect your device's live GPS location, and we do not track your movements while you use the app.
5. Provider-originated relationships and who we share data with
If a provider invites you (the customer) using their existing contact information, that relationship is recorded as provider-originated and is not used to route you to other providers through a discovery/marketplace feature. We share data with:
- Your provider or your customer, for the specific service relationship between you (never with a provider or customer you have no relationship with).
- Our authentication provider (Clerk), to operate sign-in.
- AI service providers we use to transcribe and translate voice and text, strictly to perform that function on your behalf, and never including property access instructions (section 3). We require them by contract not to train their general-purpose models on your data. [Do not publish this sentence until each provider's written confirmation and signed data processing agreement are on file.]
- Service providers who help us run the product (hosting, email delivery, crash reporting, customer support tooling), under contracts that limit their use of your data to providing that service to us.
- Law enforcement or as required by law, only when legally required.
We do not sell your personal information. We do not currently process card payments; if we add that capability, we will name the payment processor here before the feature ships, not after.
5A. AI Phone: calls to a business's HomeService number
Some businesses that use HomeService have a phone number that an AI receptionist answers. If you call one of those numbers, this section tells you what happens to what you say. It applies to you even if you have never used HomeService and never will: you are calling a business, and we are the software that answers for it.
At the start of every call the assistant tells you three things in plain words: that it is an AI and not a person, that the call is recorded so the business can follow up, and that you can say no. It then asks whether that is okay. If you say no, it takes your message without a stored transcript, we delete the recording, and it offers to connect you to the business when the business has set that up. The assistant speaks English, Spanish, Portuguese and Hindi and detects which one you are speaking. If you speak a language other than the one it opened in, it repeats the recording notice and the question in your language before the call goes on.
- What we collect: your phone number, the audio of the call, a written transcript, a short summary, the time and length of the call, the language spoken, whether you agreed to or declined the recording, and what you asked for (for example a quote, a visit, a callback or a message).
- Why: to answer you for the business, to pass your request to the business, to show the business what was said, to count the minutes the business uses, to stop abuse and fraud, and to keep proof of what the assistant told you and what you answered. We do not use what you say on a call to advertise to you, to build a profile of you, or to improve our own products.
- Who decides: the business you called decides what happens to your request and is responsible for how it uses your information. HomeService processes the call for that business. We act on our own only for counting minutes, security, preventing abuse, keeping proof of your choice about recording, and meeting legal duties.
- Who else handles it: we use a telephony and voice-AI platform, a text-to-speech provider and a language-model provider to run the call, and cloud hosting to store the results. They process the call to provide the service to us. We require them by contract not to use call content to train their general-purpose models, and not to sell it. [Do not publish this sentence until the voice platform's written confirmation and signed data processing agreement are on file.] A list of these providers is available on request at the address in section 10.
- No voiceprints: we do not identify you by your voice and we do not create or keep voiceprints or any other voice-biometric profile. We match a returning number to a customer only by the phone number, and we never read a customer's schedule or details back to a caller.
- Where it is processed: the United States. If you are calling from another country, your information is transferred to and stored in the United States, where its laws may let courts and authorities access it.
- How long we keep it: the audio is held by our voice platform for at most 30 days, and we do not download or keep a copy of the audio. The transcript and summary are kept for up to 365 days after the call and then deleted. [Retention windows to be confirmed with counsel.] A small record of when you were told about the recording, which version of the opening was spoken, and what you answered is kept for five years. It contains none of your words. Records of the length and cost of the call are kept as long as tax and accounting rules require, without your words.
- Do not give card numbers, gate or alarm codes or other secrets on the call. The assistant will not ask for them. If you say one anyway, tell the business so it can treat it as exposed.
- Your choices: say no to the recording when the assistant asks, or at any point during the call, and the assistant will take your message without a stored transcript, and we delete the recording. After the call you can ask us to delete your call recording and transcript, ask for a copy, or ask us to pass a correction to the business. Write to the address in section 10. We will ask you to prove you control the number you called from, for example with a code sent to it, because a caller ID can be faked. We answer within 45 days. If the business holds its own record of your request, ask the business too; we will tell you who it is.
- If you live in another state or country, you may have more rights, for example rights to access, correct, delete or opt out of certain uses. Write to us and we will tell you what applies and respond.
We do not sell your personal information. The AI Phone is for answering incoming calls. It does not place calls to you, send you marketing, or leave you voicemails. Calls the assistant transfers to the business go to the number the business gave us.
AI Phone is for ordinary service requests. It is not an emergency line. If anyone is in danger, hang up and call 911.
6. Retention (proposed - confirm with counsel per data class)
| Data class | Proposed retention | Notes |
|---|
| Account/identity | Life of the account, then deletion per section 8 | |
| Voice recordings (raw audio) | Proposed: 90 days, then deleted | Transcripts may be retained longer as part of the job/message record |
| AI Phone call audio (voice platform) | At most 30 days, no copy kept by us | See section 5A |
| AI Phone transcripts and summaries | Up to 365 days after the call, then deleted | Deleted earlier if you ask (section 5A) or if you decline the recording |
| AI Phone consent record | 5 years | Contains no speech |
| Photos | Life of the associated job/property record | Evidentiary and service-history value |
| Property addresses | Life of the property record, as text you or your customer typed | We do not store a map coordinate, and we do not keep a history of where your device has been |
| Messages and transcripts | Life of the account, as part of your service history | |
| Payment and invoice records | Retained per applicable tax/accounting record-keeping requirements, even after account deletion, de-identified where required (see section 8) | |
| Property access instructions | Deleted immediately when removed from a property, or when the property is deleted | Never retained beyond active use |
7. Your choices and rights
You can access, correct, or export your data from the app, and you can withdraw consent for voice recording at any time in your device settings (this will disable the features that depend on it). Depending on your state/country, you may have additional rights to access, correct, delete or port your data, and to opt out of certain uses - contact us using the method in section 10 to exercise them. If you never made an account and only called a business that uses AI Phone, you can write to the address in section 10 and exercise the choices described in section 5A.
8. Deleting your account
You can delete your account two ways:
- In the app: Settings - Account - Delete Account.
- On the web, without installing the app: homeservice.onetrinity.co/account/delete
Deleting your account erases your personal identifiers (name, contact details, profile photo, authentication identifiers) immediately. Business and financial records tied to completed jobs (invoices, payment records, tax-relevant data) are retained as required by law, with the personal identifiers removed so the record can no longer be tied back to you as an individual. Stored files (photos, voice recordings) and backups are removed within 30 days. We tell you this in plain language on the deletion screen itself, not only in this policy.
9. Children
This app is intended for adults operating or receiving a local service business relationship. It is not directed at children, and we do not knowingly collect personal information from children.
